Privacy at NotifyMe Inspect
Who this covers
This notice covers the people who record equipment checks in the NotifyMe Inspect app for their employer, and the people who use the dashboard. Your employer (our customer) decides who does checks, what gets checked and who sees the results. We store and process that information for your employer, to provide the service.
NotifyMe LLC, a Wyoming limited liability company, provides NotifyMe Inspect to customers outside Canada. NotifyMe Inc. (Canada) provides it to customers in Canada.
What we collect
| What | When | Why |
|---|---|---|
| Your name and work email | When your employer adds you | To tie each check to the person who did it, and to sign you in |
| Your password | When you choose it | To sign you in. It's stored scrambled; nobody at NotifyMe or your employer can read it |
| Each check: the item, your answers, pass or fail, what failed, and any note you add | Each time you record a check | It's the inspection record |
| A fix you record on the spot | When you record it | To show the problem was dealt with, and by whom |
| Date and time: our server's time, plus your phone's time | Each check | The server time is the record; the phone's time shows when a check done with no signal was actually done |
| Your phone's location and how accurate it was | Each check | To show the check was done on site |
| Photos you choose to take | Only if you add one | Evidence of what you saw |
We don't collect your contacts, your other apps, or your location outside a check.
Location
The app reads your phone's location only while a check is open on the screen, and saves one reading with the check. It doesn't track you during your shift or when the app is closed. A check can't be recorded with location off, because the location is part of the proof.
Indoors, phone location is often out by tens of metres. The record shows you were on site, not which exact item you stood beside, and we say so to your employer and in the audit export.
Photos
- Photos are optional. Nobody is required to take one.
- The location, phone model and time stored inside a photo file are removed before the photo is kept. Our server refuses any photo where it can't remove them.
- Each photo is screened for offensive content by Microsoft Azure AI Content Safety, in Canada, before anyone can see it. Borderline photos are held for a person to look at.
- No computer judges the equipment in a photo. The person doing the check decides pass or fail.
Who can see it
- People your employer gives dashboard access to (owners, managers and viewers): the checks, fixes, locations and screened photos for their company, and the audit export.
- People your employer lists to get alerts: emails naming the item, the problem and who found it.
- Systems your employer connects, such as their own EHS or maintenance software: the details of each check, sent as it is saved.
- An auditor your employer shares the export with, for example for a COR audit.
- You: what you record in the app. Other people's photos aren't shown to you.
- NotifyMe staff: only when needed to run, fix or support the service, or when your employer asks us to.
We don't sell this information or use it for advertising.
Where it's stored
| Service | What it handles | Where |
|---|---|---|
| Supabase (database, sign-in, photo storage) | Everything listed above | Montreal, Canada |
| Microsoft Azure AI Content Safety | Each photo, to screen it | Canada East |
| Resend | Alert and welcome emails, while they're delivered | United States |
| Vercel | Delivers the app's pages to your phone; doesn't store your checks | Global network |
| Your own phone | Checks done with no signal, until they send | On the phone |
Inspection records and photos are stored in Canada. Emails pass through Resend in the United States to be delivered, so the details in an email (such as the item, the problem and who found it) leave Canada while it's sent.
How long it's kept
- Checks, fixes, locations and photos are kept for as long as your employer's account is open, because auditors look back at past records.
- When an account closes, we offer the employer an export of its records, then delete them within 90 days.
- If you leave your job, your employer switches off your access. Checks you already recorded stay in their record under your name, because the record is about who did the check.
Your choices
- Ask your employer first: they decide who does checks and what's recorded, and can correct a record or switch off your access.
- You can ask us what we hold about you, or ask us to correct it, at privacy@notifymeinspect.com. We'll answer within 30 days.
If you are in Canada and aren't satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca), or in Alberta, the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).
